As Facilities Co-Ordinator, you will be responsible for ensuring the EA Southam studio & grounds provide a safe, complaint and engaging facility for our staff and visitors. You will work closely with the Senior Facilities Specialist and the rest of the Workplace team, to keep our Southam studio running smoothly and help maintain a first-class operation.

 

We are seeking someone who is a great team player, enjoys working in a fast-paced environment, has facilities & compliance experience, is highly motivated and enjoys working in a client facing role. The role is full time office based at our Southam studio, although will be required to travel on occasion to our EA Birmingham studio.

Responsibilities:

 

  • Responsible for the safety, maintenance, compliance and overall appearance of the office; ensure workplace related issues or interruptions in services are rectified in a timely manner, updating internal stakeholders regularly on progress
  • Oversee and manage external contractor on-site operations; monitor adherence to maintenance schedules and SLA’s; provide regular feedback to the Senior Facilities Specialist.
  • Understand and anticipate the needs of internal teams with disparate needs; proactively suggest possible improvements to Workplace Experience in order to better support the experience of our people located on site.
  • Maintain records across a broad range of workplace related topics, ensuring accurate data is maintained and filed so easily available for external audit purposes at-all-times
  • Apply best practice across all workplace activities; ensure adherence to company policies and report instances of non-compliance
  • Support the Senior Facilities Specialist with planning, coordinating, estimating and scheduling of maintenance tasks and building projects
  • Develop productive relationships with other internal support functions in order to provide a coherent and high-quality service to our people 
  • Manage small to medium scale projects independently, such as desk moves, small scale refurbishment activities
  • Carry out scheduled safety & compliance testing in areas such as fire door testing, weekly fire call point testing, lift and disability w/c alarm testing, as well as scheduled facility audits both internally and external to the building.
  • Manage the outsourced grounds maintenance contract and ensure contractors comply to risk and method statement requirements.
  • Maintain the service now helpdesk reactive maintenance system, respond and prioritise tasks accordingly.
  • Undertake planned maintenance activities in line with business requirements whilst ensuring all work is carried out in accordance with the risk assessment.
  • Provide the shuttle bus service for our staff travelling to and from site by public transport into Leamington Spa.
  • Assist in ensuring the site remains operational through extreme weather events.

 

  • Skills and Abilities:
  • Minimum of 3 years’ experience in facilities management
  • Ability of managing Health and Safety & Fire Safety in a similar working environment.
  • In-depth knowledge of a broad range of facilities M & E, technical and support processes; comfortable working in a fast-paced environment and to very tight deadlines
  • Client service: ensure a high-quality delivery to employees. Ability to balance employee’s requests with the company objectives.
  • Personal effectiveness: has a ‘can do’ mentality, self-assured, proactive, open and flexible. Has the confidence and credibility to advise senior management. Works effectively within a matrix Organisation and rises to the challenge of ambiguity. 
  • Communication: able to establish effective relationships at all levels within the Organisation, initiate networks and proactively exchange information. 
  • Proactive self-starter who needs little direction to initiate activities.
  • Excellent written and verbal communication skills; actively listens and questions; builds strong relationships through empathy and trust service orientated, with strong interpersonal skills (with at least 3 years’ previous experience in a client facing role delivering exceptional customer service)
  • Flexible and adaptable, with the ability to rise to new situations and challenges as we navigate the ‘new normal’ for workplace operations and hybrid working within an incredibly dynamic industry
  • Excellent organization and planning skills; ensure on-time delivery of work and rigorous follow up, with an ability to prioritize tasks and competing demands
  • Comfortable with autonomy and able to proactively self-manage workload
  • Exceptional eye for detail, completes all tasks to a high standard; demonstrable ability to anticipate issues and recommend solutions, escalating as needed
  • Good level of IT literacy with understanding of Microsoft 365 and Google Suite tools and applications
  • Clean, current, driving license
