This position requires strong judgment, discretion, and the ability to manage competing priorities with professionalism and efficiency. You will be based at our corporate office in Redwood City and work in a hybrid model defined as 3 days in office.

Responsibilities:

  • Calendar & Meeting Management: Own and optimize complex calendars across multiple leaders, prioritizing critical meetings, resolving conflicts, and ensuring leaders are well-prepared. Coordinate agendas, materials, and follow-ups to drive effective meetings.
  • Team Coordination & Operating Rhythm: Help manage the operating cadence for Enterprise FP&A & Tax leadership, including staff meetings, business reviews, planning cycles, and key Finance deliverables
  • Travel Coordination: Manage domestic and international travel logistics across supported leaders, including itineraries, accommodations, and scheduling alignment.
  • Expense & Financial Management: Process and track expenses, reimbursements, and invoices. Support purchase requisitions and vendor coordination as needed.
  • Tax Team Coordination & Mail Management: Support the Tax team by reviewing incoming mail and correspondence, applying judgment to identify items requiring action (e.g., compliance filings, audit responses), and routing to the appropriate stake holders in a timely manner.
  • Subsidiary Board Support: Assist with EA subsidiary board governance processes, including coordinating e-signatures for board approvals, maintaining documentation, and supporting the preparation and distribution of board minutes.
  • Cross-Functional Collaboration: Act as a liaison across Finance, EA partners, and cross-functional teams to ensure alignment and smooth execution of priorities.
  • Event & Meeting Logistics: Coordinate logistics for the FP&A and broader Finance teams, including supporting the broader Finance-wide events.
  • Office & Operational Support: Partner with IT, Facilities, and Workplace teams to ensure seamless day-to-day operations for supported leaders, including in office support and enhancing the workplace experience across the supported and broader Finance teams.
  • EA Community & Coverage: Engage with the broader EA community to coordinate coverage, share best practices, and contribute to a strong team culture.

Qualifications & Skills:

  • 5–8+ years of experience supporting senior executives (VP/SVP level) in a fast-paced corporate environment.
  • Proven ability to support multiple leaders and manage competing priorities effectively.
  • Highly organized with strong attention to detail and a proactive, solutions-oriented mindset.
  • Demonstrated ability to handle sensitive information with discretion and professionalism.
  • Strong communication skills and ability to build trusted relationships across teams.
