Executive Assistant – CFO
Redwood City, CA - Hybrid
Position Overview: As the Executive Assistant to the Chief Financial Officer, you will serve as a trusted partner and operational backbone for the CFO, anticipating needs, ensuring seamless execution of daily operations, and representing the CFO's office with professionalism and discretion. The position is based at our Redwood City headquarters with a hybrid work model.
Responsibilities:
- Calendar & Meeting Management: Maintain full ownership of executive calendars, scheduling and confirming meetings, preparing agendas, securing meeting spaces, and ensuring the CFO is well-prepared.
- Travel Coordination: Arrange complex domestic and international travel, including visas, itineraries, accommodations, and logistics.
- Expense & Financial Management: Track and process travel expenses, reimbursements, credits, and financial reconciliations through internal systems. Manage invoicing and associated purchase requisitions.
- Collaboration: Serve as an important liaison between executives, company partners, and external partners to facilitate workflow.
- Office & Facilities Support: Coordinate IT and Facilities requests, manage procurement processes, and ensure smooth operational support.
- Event Logistics: Assist the Office of the CFO with logistics for team meetings and events, including Finance town halls and EA office site visits.
- Exec Assistant community: Partner with the Global Finance Exec Assistant community to coordinate coverage, support our in-office presence, and demonstrate indirect leadership for this team.
Qualifications & Skills:
- 7 years + experience as an Executive Assistant supporting C-suite or senior leadership in a corporate or transformation environment. Recent experience at C-suite level.
- Organized, attentive to detail, and has a proactive mindset.
- Demonstrates a consistent track record of confidentiality and discretion in all partnerships.
- Quickly build and maintain trust with leadership, partners, and peers.
- Experience managing travel logistics and processing expense reports.
- Experience driving events and fostering a team environment.
- Advanced in Microsoft Office, Google Suite, and familiarity with tools like Oracle and expense management systems.
- Knowledge of procurement and office management processes.

The ranges listed below are what EA in good faith expects to pay applicants for this role in these locations at the time of this posting. Pay offered will be determined based on a number of relevant business and candidate factors (e.g. education, qualifications, certifications, experience, skills, geographic location, or business needs).
PAY RANGES
In the US, we offer a package of benefits including paid time off (3 weeks per year to start), 80 hours per year of sick time, 16 paid company holidays per year, 10 weeks paid time off to bond with baby, medical/dental/vision insurance, life insurance, disability insurance, and 401(k) to regular full-time employees. Certain roles may also be eligible for bonus and equity.
